This position provides administrative, academic, research, and financial support to the department, faculty, graduate assistants, and students in assigned program areas, as well as Principal Investigators (PIs) of external grants. Responsibilities include:
FINANCIAL- Responsible for purchasing/receiving services and goods in accordance with fiscal policy and general accepted accounting principles. Document, process, and reconcile statements, reimbursements, payments, and invoices. Monitor expenditures and balances of funds from various sources. Reconcile ledgers as applicable according to policy.
Provide research financial support for externally funded grants by monitoring expenditures based on budgets, reconciling ledgers, and processing invoices following fiscal policy and agency agreements to ensure compliance. Prepare and execute paperwork associated with grants, proposals, and contracts. Act as liaison with Sponsored Projects Accounting (SPA) and the Office of Sponsored Projects (OSP) to resolve issues as well as close funds in a timely manner. Assist the Principal Investigator (PI) and the Director with compiling and entering data for reporting on projects, grants, etc., as well as prepare responses/reports to campus/other agencies.
Coordinate and process travel requests, expense reports, guest traveler forms, vendor forms, and associated IRIS transactions.
HUMAN RESOURCES - Coordinate and process paperwork and IRIS transactions associated with Human Resource actions to include additional pay, pay funding changes, time entry, payroll reconciliation, terminations. Monitor effort certification to ensure compliance. Coordinate the hiring, training, and termination of student workers and supervise assigned student workers. Coordinate their schedules, monitor and validate time worked, evaluate performance and resolve issues.
ADMINISTRATIVE SUPPORT: Responsible for general office duties to include but not limited to filing, document management, greeting visitors, monitoring department email. Assist with maintenance of department websites. Monitor and inventory equipment, space, and materials and coordinate the security and maintenance needs for same. Responsible for the management and oversight of the VolsTeach Academic/Curriculum library and materials. Assist with the planning, coordination, and arrangements for special events, projects, workshops, promotional/marketing activities.
ACADEMIC SUPPORT: Assist faculty and students with classroom needs, course registrations, dropping/adding students, resolving course/student/Banner issues, etc. Assist with room reservations and event planning.
