POSITION TYPE/EXPECTED HOURS OF WORK:
This is a full-time, Unclassified AFT position, and days of work and hours are Monday through Friday, 8:30 a.m. to 4:30 pm. Note: This position is in the “NL” category of employment (non-fixed work week) and individuals in this role have no claim or entitlement to time off or cash compensation for hours worked beyond their normal schedule. Occasional evening and weekend work may be required as job duties demand. It is the policy of the College to grant hour for hour compensatory time off, with advance approval, only when employees are required to work on a regularly scheduled day off, Saturday, Sunday or a holiday.

Reports to the Assistant Dean of Teacher Education and is responsible for coordinating the support work and performing the clerical/administrative functions necessary for the operations of TE graduate programs, specifically MAEL, MSET and the Masters in Special Education program and serves as principal assistant in all administrative matters; does other related duties as required.
Works in close collaboration with a variety of constituents, both on- and off-campus, to ensure that Teacher Education Graduate Program goals and mission are met, as well as to ensure the effective functioning of the office and the program.
Works collaboratively with Program Directors and Graduate/Adult Admissions to support the recruitment, application and enrollment of TE graduate students, as appropriate.
Works collaboratively with Program Directors and Graduate/Adult Admissions to support the planning, promotion, administration and implementation of conferences, workshops and related events.
Works collaboratively with Program Directors, as appropriate, to support the promotion, establishment and logistics/administration of off-site cohorts, including off-campus/in-district, presentations/events, space coordination, course registration and related overrides, faculty assignments and contracts, financial aid, processing of NJ certification applications, and other administrative requirements, as necessary.
Provides quality, courteous and timely customer service to a variety of constituent groups regarding the Teacher Education Graduate Programs (MSET, MAEL, and MASE).
Coordinates with the Business Office, Accounts Payable, Purchasing, Payroll, and the Bursar’s Office in processing appropriate forms.
Employs Banner to input semester scheduling and teaching schedule.
Employs Computer Software in Banner/Financial Records for Purchasing, Honoraria, Professional Services, Invoices, Stipends, Equipment and Supplies, Travel Reimbursement, Project Staff payments.
Coordinates with the Office of Administration and Finance in establishing and overseeing budgetary accounts, such as adjunct payments and consultant honoraria.
Monitors individual graduate program expenditures to keep within budget constraints
Prepares letters and memos on a routine basis for Directors of Graduate Programs and the Teacher Education and Certification Program (TECP), as needed (reviewed by Directors).
Prepares materials for the Graduate Programs within TECP and articulates with Graphics and the Print Shop in the production of program materials.
Supervises student aides. Trains student aides in proper phone communication, operation of Office Machines (Fax, Xerox, Printers, etc.) In charge of time-sheet records/ student aide work scheduling and budget, Assigns and instructs clerical duties.
Reviews, sorts, and routes incoming correspondence, including responses to inquiries about the graduate programs
Handles logistical details with campus offices; Physical Plant, Housekeeping, Office of Events and Conferences.
Obtains pertinent materials from personal and student files, or other resources, and compiles them into usable form for the review of Program Directors and/or Assistant Dean of TECP.
Maintains email and US Mailing lists (students, interested parties, adjuncts/potential adjuncts, etc.) and revises as required
Handles course rosters, grade sheets, etc.
Ensures that the confidentiality of student records are preserved and maintained in a secure location.
Responds to inquiries and provides basic information about Graduate Programs within TECP.
Manages correspondence, records, and forms relating to the appointment and payment of adjuncts.
Employs computer software applications, including, but not limited to, Watermark/TaskStream (Teacher/Leadership Education platform supporting program assessment, evaluation, data collection and reporting), SPOL (RCNJ Strategic Planning platform), Google Suite, Microsoft Office Suite (including Word, Excel, PowerPoint, and Access).
Graduation from an accredited college with a Bachelor's degree.
Two (2) years of professional experience, five (5) years preferred, in an institution of higher education or in education, or other field that is directly related to the functions of the position
Secretarial or administrative assistant work experience in a K-12 school district or undergraduate/graduate teacher education preparation program is preferred.
