Position Type/Expected Hours of Work:
This is a full-time, AFT position, and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 pm. Occasional evening and weekend work may be required as job duties demand. Note: This position is in the “NL” category of employment (non-fixed work week) An AFT- NL professional staff member or librarian who is required to work beyond 35 hours shall be compensated through compensatory time off. JOB SUMMARY
Reporting to the Assistant Dean of Teacher Education, the Teacher Education Undergraduate Program Assistant is responsible for coordinating the support work and performing the clerical/administrative functions necessary for the operations of the Teacher Education program, serves as principal assistant in all administrative matters, and performs other related duties as required.
ESSENTIAL DUTIES
Works under the direction of and in collaboration with the Assistant Dean and Teacher Education (TE) program staff to perform the following tasks:
- Outreach/solicitation, onboarding, and coordination of all placement districts/schools
- Recruitment, assignment, and scheduling of all Cooperating Teachers (CTs) and Clinical Supervisors (CSs)
- Sustain and disseminate regular communications to inform, guide, and support clinical interns (CIs), CTs and CSs
- Respond to daily inquiries from student interns, district/school administration, CTs, and CSs
- Support the administration and sustained oversight of mandated assessments and related data collection aligned to internship, including clinical observations/evaluations, edTPA, CPI (dispositional inventory), and Praxis
- Support CI, CS and CT orientations
- Support all related CT and CS budgeting, financial planning, and contract development/ distribution
- Provide ongoing schedule support, which requires data entry, facilitation across offices, student inquiries, etc.
- Serve as an initial point of contact for TE students who are seeking information about joining the TE program or declaring a major in Elementary Education, clinical experience and practice placements, schedule permits, etc.
- Serve as the primary program receptionist (physical/virtual); assist with and maintain communication with on-campus and community constituents
ADDITIONAL TASKS:
- Support implementation of course scheduling and teaching schedule
- During registration periods, enable/issue permits for TE students to register for courses via the Banner system/Web Self-Service
- Assign TE advisees to TE faculty advisors through the local ted.ramapo.edu database in consultation with the Assistant Dean of TE
- Support facilitation/communication with the Business Office, Accounts Payable, Purchasing, Payroll, and the Bursar’s Office in processing required forms
- Support coordination with the Office of Administration and Finance in establishing and overseeing budgetary accounts
- Monitor individual program expenditures to keep within budget constraints
- Keep the Assistant Dean of TE informed regularly about the TE program budgets, including balances in individual accounts, if/as needed
- Support correspondence, records maintenance, and document preparation and employ computer software and technology platforms at the College to facilitate purchasing equipment and supplies; paying invoices; obtaining reimbursement for travel and mileage for faculty, staff, and student teacher supervisors; paying adjunct faculty and those who provide professional services; paying honoraria, stipends, and project staff payments; etc.
- Organize travel and schedule meetings for and participate in Convening Meetings, as well as search committees for open TE positions
- Review incoming mail and prepare routine responses using Microsoft Word and screen telephone calls
- Review, sort, and route incoming correspondence, including responses to inquiries about the undergraduate programs
- Ensure the confidentiality of student records is preserved and records are maintained in a secure location
- Maintain updated email and postal mailing lists for students, interested parties, adjuncts/potential adjuncts, etc.
- Employ computer software applications and technology platforms including, but not limited to, Watermark/TaskStream, Google Suite, and Microsoft Office Suite (e.g., Word, Excel, PowerPoint, and Access)
- Support communication of logistical details with campus offices including, but not limited to, Physical Plant, Housekeeping, and the Office of Events and Conferences
- Performs other duties as assigned, directed or required
REQUIREMENTS
EDUCATION:
Graduation from an accredited college or university with a Bachelor’s degree is required.
EXPERIENCE:
Related professional experience in an institution of higher education or in education or another field that is directly related to the functions of the position is required.
Secretarial or administrative assistant work experience in a K-12 school district or undergraduate/graduate teacher education preparation program is preferred.
ADDITIONAL KNOWLEDGE, SKILLS AND ABILITIES:
- Ability to prepare well-written and technically sound reports and communications, as requested by the Assistant Dean of TE
- Reserve meeting space as needed and prepare meeting handouts
- Use College computer systems, software, and platforms to facilitate work and to provide information needed for the functioning of the TE program office
- Attend classes or training, as requested, to improve skills
- Act as a pre-admission point of contact for those seeking entry into the TE program and/or declaring a major in Elementary Education. This includes, but is not limited to, directing students and others seeking service to appropriate staff and faculty and explaining the program application process
- Ability to work with a diverse population, maintain communication with school districts, and maintain a consistent and professional customer-oriented disposition
- Prepare and disseminate correspondence, memoranda, reports, advisement literature, brochures, and agendas for the Assistant Dean of TE, as required or directed
